International Program Associate

Chicago Sister Cities International (CSCI) is seeking an International Program Associate. The Associate furthers CSCI’s mission to promote Chicago as a global city, develop international partnerships and networks, and share best practices on a city-to-city basis.

The role of the International Program Associate is to provide logistical and administrative support to program managers and directors for CSCI’s core initiatives and activities associated with CSCI’s 30+ volunteer committees. This is an entry-level position with the opportunity to be an integral part of exciting initiatives and to work with Chicago’s international leaders. The International Program Associate reports to the Executive Director and Deputy Director of CSCI

Responsibilities

  • Provide logistical and administrative support for CSCI’s core initiatives
  • Schedule, manage and attend committee meetings
  • Assist in all aspects of event planning (creating and sending invitations, taking RSVPS, preparing name tags, managing check-in, event set-up, etc.)
  • Assist with delegation visits
  • Correspond with committee members and public regarding programming and meetings
  • Provide administrative support for finance and development processes (process incoming monies and payment requests, provide support for fundraising initiatives, process thank you letters)
  • Manage databases for membership, external partners, stakeholders and interest lists
  • Prepare a variety of written correspondence, reports and other materials
  • Perform other duties and special projects as assigned

Skills & Competencies

  • Graduation from an accredited college or university with a Bachelor’s degree
  • One to three years of administrative experience, preferably relating to event programming, project management or volunteer management
  • Strong interpersonal skills with the ability to work collaboratively and effectively with a wide range of individuals within and outside of WBC/CSCI
  • Excellent verbal and written (editorial and proofreading) communication skills with the ability to clearly communicate with all levels of management
  • Strong organizational skills and ability to prioritize workload in order to meet tight deadlines in a fast-paced and dynamic work environment
  • High attention to detail and accuracy
  • Strong computer skills with expertise in Word, PowerPoint and Excel
  • Experience with database management; Salesforce preferred
  • Ability and willingness to work some early mornings, evenings and weekends
  • A passion for international relations and global protocol
  • Foreign language skills a plus
